General registration info

The registration fees include:
- admittance to the conference;
- name tag and meeting materials;
- access to all coffee breaks and lunches;
- attendance to the social events (welcome reception, beer reception and conference banquet).
Registration for the excursion to Bruges to be organised on Saturday is supplementary (€100). Please note that you can only register for this trip until the registration deadline of August 21th, 2022. Since the necessary bookings need to be made in advance, you can’t register for this excursion during the conference.
You are eligible for the student fee if you are a student (Bachelor, Master or PhD) within the academic year 2021-2022. A certificate of enrollment or a letter signed by your supervisor needs to be provided by e-mail (info@patatconference2022.org).
You can choose to bring an accompanying person to the following two activities: conference banquet (€80) and the social excursion on Saturday (€100).

Registration process

Confirmation of registration and payment:
You will receive a first email with an automatic confirmation that the registration has been received. After payment you will receive a second email confirming that we have received your payment. If you don't receive these emails, either your registration or payment was unsuccessful. Should this happen, please contact info@patatconference2022.org

Payment information:
All payments should be made in advance in Euro (EUR, €) within 14 days after your registration.

Invoice request:
If you require an invoice, please select ‘bank transfer’ in the final step of your online registration and contact info@patatconference2022.org. The invoice will be sent to you by email, including corresponding payment instructions. Please do not pay before receiving the invoice.
Important invoice information!
If you have already paid your registration by credit card or bank transfer, you will still be able to receive a proof of payment, indicating the amount, however, it will no longer be possible to receive an official invoice.

Cancellation policy:
Unpaid reservations will be cancelled by the KU Leuven Conference and Events Office 4 weeks after they have been made and/or on 1 August 2022 at the latest. KU Leuven Conference and Events Office must be notified in writing of cancellations of registration:
- Until June 25, 2022: registration payment will be refunded;
- From June 26, 2022 to July 25, 2022: 50% of the registration payment will be refunded;
- From July 26, 2022 onwards: no refunds will be made.

We are aware times may still be uncertain and differ between countries. Cancellation in case of extenuating circumstances related to COVID 19 will be handled in the discretion of the steering committee.
